How to Get Your Player Pass

What Is a Player Pass?
A player pass is an official registration card issued by your governing body (US Club Soccer, USYS, USSSA, or your national FA). It proves the player is registered, eligible to play, and covered by the organisation's insurance for the current seasonal year.
At every sanctioned tournament, the referee checks player passes before each match. If a player cannot produce a valid, current-year pass, they cannot take the field β no exceptions, no matter how far you've travelled.
Getting a Pass for the First Time
You do not apply for a player pass directly β your club handles this as part of the registration process. When your child joins a club, the club registrar registers them with the governing body and issues the pass.
The club must be affiliated with a recognised governing body (US Club Soccer, USYS, USSSA, or your national FA). An unaffiliated club cannot issue a valid player pass.
This typically includes the player's full name, date of birth, photo, and parent/guardian contact details. The photo is important β it appears on the pass and is used for identification.
Registration fees vary by club and governing body. The fee covers both club membership and the governing body registration. Ask your club registrar what is included.
Processing times vary: 3β7 business days for US Club Soccer (GotSport), 5β10 business days for USYS state associations. Digital passes may be available sooner.
When the pass arrives, check: correct name spelling, correct date of birth, current seasonal year, and a clear photo. Errors on the pass can cause problems at tournament check-in.
Annual Renewal β Don't Miss the Window
Player passes are issued for a seasonal year, not a calendar year. The exact renewal window depends on your governing body and state association, but most US organisations run on an AugustβJuly cycle.
Many parents assume the pass auto-renews. It does not. If your child's club does not re-register them at the start of each season, the pass expires and they cannot play in sanctioned tournaments.
Look at the pass card β the seasonal year is printed on it. If it shows last year, it needs renewing before the next tournament.
Most clubs handle renewals at the start of the season. If you haven't heard from your club by September, follow up proactively.
Do not leave renewal to the week before a tournament. Processing can take up to 10 business days.
Lost or Damaged Pass
A lost or damaged pass is not the end of the world β but act immediately. Do not wait until the day before the tournament.
Many governing bodies now issue digital passes accessible via the registration platform app (GotSport, etc.). Ask your club registrar if a digital pass is available β this is the fastest solution.
They can request a replacement pass through the governing body's registration platform. This typically takes 3β5 business days.
Some tournaments accept a printed confirmation of registration as a temporary substitute while a replacement pass is processed. Contact the tournament director to ask β do not assume.
Once you have the new pass, photograph both sides and save it to your phone. This is not a substitute for the physical card, but it can help resolve disputes at check-in.
Tournament in 3 Days β Emergency Steps
Do these in order, right now. Do not email β call.
Explain the situation. Ask specifically: Is a digital pass available? Can the pass be expedited? What is the fastest option?
For USYS: find your state association at usyouthsoccer.org. For US Club Soccer: contact GotSport support. Ask about same-day or next-day digital pass options.
Explain the situation in writing (email) and by phone. Ask if they have a documented grace process. Some tournaments accept a printed registration confirmation with photo ID.
Keep records of every call and email. If the pass issue is due to a processing delay (not your fault), documentation may help the tournament director make an exception.
Prevention is everything. After this tournament, set a calendar reminder for August 1st every year: "Check player pass renewal."
